Asha is accredited by the Complementary and Natural Healthcare Council (CNHC), the Association for Solution Focused Hypnotherapy (AfSFH), and the National Council for Hypnotherapy (NCH). These professional bodies require high standards of data protection, confidentiality, and ethical care — all of which are reflected in how we collect, store, and use your information.

Our Legal Grounds for Processing

Working with Young People

When working with anyone under the age of 18, we always obtain consent from a parent or guardian before beginning support. Information relating to young people is stored securely and retained for 25 years from their date of birth, or 8 years from the last point of contact — whichever is longer — in line with insurance guidance and CNHC professional standards.

Safeguarding and Duty of Care

As a UK therapist, safeguarding is a vital part of our duty of care. If we become aware of any risk of harm to you or others — including children or vulnerable adults — we may need to share relevant information with external services. This could include social care, your GP, emergency services, or mental health teams. Wherever possible, we will discuss this with you first, unless doing so would increase the risk.

How Your Data Is Stored

All personal information is stored securely, in line with GDPR and UK professional guidelines. Digital files are protected by strong passwords and encryption. Booking and payment systems are accessed only by authorised staff. Any paper records (where used) are locked in secure storage. We routinely review our systems to ensure ongoing protection.

How Long We Keep Your Information

For adult clients, we keep records for seven years from the date of your last contact. For under-18s, we store information until the young person turns 25, or for eight years from the last session — whichever is longer. Where safeguarding, complaints, or legal matters arise, information may be kept longer, following legal or ethical advice. After the appropriate period, your information is securely destroyed.


Who We Share Information With

We only share information where necessary and with trusted partners who support our services. This includes secure payment processors like Stripe or PayPal, booking systems such as 10to8, and platforms like Signable for digital consent forms. In some cases, administrative support may be provided by a virtual assistant who only accesses essential communication data. Where we are legally required to do so, we may also share information with statutory bodies or regulators — particularly where safeguarding is involved.

We never share your information with advertisers or unrelated third parties.

Your Rights Under UK GDPR

Under UK data protection law, you have the right to access your personal data, ask us to correct any inaccurate information, request that your data be deleted, and restrict or object to how it is used. You can also ask us to transfer your data to another provider and withdraw your consent at any time, where consent was the basis for processing.
